Summary of Position The Administrative Assistant provides administrative and general project support to the Head of Investment Banking (IB) and one or more other senior leaders within the bank. He/she will assist the executive and other staff within the department with day-to-day hands-on support. He/she will handle confidential data; assist with compliance and operational requirements; and interact with high-level executives and clients on his/her behalf. The assistant’s work is performed under the general supervision of the Head of Investment Banking, however he/she will also provide support to the Chief Administrative Officer of the Bank. Description of Responsibilities Screen incoming calls and correspondence and respond independently when possible. Serve as the point of contact for outside clients and internal employees in order to ensure prompt response time and efficiency of communications Manage calendars and independently schedule appointments. Coordinate meetings, conference calls, and other executive events Coordinate travel arrangements for department head and/or team members Handle a significant amount of travel logistics and manage expense reimbursement process Serve as a gatekeeper and facilitator for many daily activities for the team Help maintain IB databases and create and maintain hard copy and electronic filing systems Administrative support to the Investment Banking Administration (IBA) team includes: o Phone coverage for bankers (20+ phone lines) o Coordinate weekly IB Monday morning meetings o Maintain departmental phone directory, organizational chart, and emergency contact information o Responsible for scheduling weekly business review meetings o Assist IBA with deal lifecycle and CRM system management Track pipeline approval process across industry groups Conduct conflict checks for possible banking transactions Collect and review final deal files for accuracy and completeness Monitor timely execution of engagement letters Assist during compliance and external audit reviews Maintain and update departmental new hire guide and commitment committee guide Provide back up support for PPM distribution o Project support as needed Provide support during transition to new CRM system including data clean up and testing Assist HR as needed for annual college recruitment process within banking Help plan and coordinate travel and venue for offsite events Qualifications General knowledge and work experience within the securities industry is a plus, but not required Excellent verbal and interpersonal skills, as well as professional phone demeanor. Ability to demonstrate discretion in handling confidential data and dealing with high-level executives Excellent organizational skills with attention to detail.
